Role Specification
Catch-Up Bookkeeper
Months behind? A specialist who does nothing but bring back books current.

What this role covers
New clients rarely arrive with clean books. They arrive three to eighteen months behind, with uncategorized feeds, duplicated bank rules, and a suspense account full of mysteries. Catch-up work is its own discipline: triage the damage, reconstruct what is missing, then reconcile forward month by month until the books are current. A catch-up bookkeeper does this all day, which is why they finish in weeks what a generalist stretches into a quarter - and why your staff stops dreading new-client onboarding.
The monthly workflow
Core responsibilities
- Triage and diagnostic of the backlog: what is missing, duplicated, or miscoded
- Bank and credit card reconstruction for months with missing feeds or statements
- Clearing undeposited funds, suspense, and opening balance equity accounts
- Catch-up on AP and AR subledgers so they tie to the general ledger
- Month-by-month reconciliation forward to current, each month tied to its statement
- Documentation of every judgment call for your reviewer's sign-off
A day in the life
- Reconcile a backlog month to its bank statement and document the exceptions
- Clear old items out of undeposited funds and the suspense account
- Rebuild a missing month from statements and receipts when feeds are gone
- Reverse a bad bank rule and recode the transactions it mangled
- Post a progress note your reviewer can check in two minutes
- Update the catch-up tracker so the client always knows the finish line
The software, in detail
Catch-up work happens where the client's books already live: QuickBooks Online, QuickBooks Desktop (including files that have not been touched in a year), and Xero. Document collection runs through Hubdoc or Dext, and heavy reconstruction runs through Excel. Candidates are screened on a deliberately broken file: duplicate rules, a bloated suspense account, and three missing months.
A sample week
| Monday | Diagnostic on the newest catch-up client; backlog sized and plan posted |
| Tuesday | Two backlog months reconciled and documented on the oldest engagement |
| Wednesday | Suspense and undeposited funds cleanup across two files |
| Thursday | AP and AR subledger tie-outs; reviewer questions answered |
| Friday | Progress notes to reviewers; tracker updates; handoff of finished months |
What this role does not cover
Clarity up front saves everyone time. This role does not include:
- ✕Forensic accounting and fraud examination - suspected fraud goes to a specialist
- ✕Amended tax returns - your tax team decides what the corrected books support
- ✕Attest work of any kind
- ✕IRS or state notice response and representation
- ✕A guarantee that books are tax-ready - that call belongs to your reviewer and tax team
Why Philippines-based talent excels here
Catch-up work rewards patience and pattern recognition over speed, and Philippine bookkeeping teams do a large share of the world's offshore cleanup work. Candidates are screened on a deliberately broken file, so the person you get has already shown they can untangle duplicate rules, suspense accounts, and missing months - in writing, so your reviewer can follow the reasoning.
