White label bookkeeping

White label bookkeeping, under your brand

A dedicated offshore bookkeeper who does the work — and the client believes they're talking to your team. The bookkeeper works from your firm's email domain, inside your client portal, under your NDA. You keep the relationship, the margin, and the sign-off. We supply the capacity that lets you take on more clients without revealing a sub-contractor.

What "white label bookkeeping" means here

White label bookkeeping is delivery that looks like it came from your firm. The bookkeeper does the reconciliations, categorization, close prep, AP/AR, and payroll work for your clients — but the client never sees a third party. The email comes from your domain. The work happens in your portal. The NDA is yours. When the client has a question, they ask your team. This is how firms scale delivery without diluting the brand they spent years building.

It matters most for two kinds of practice. Accounting firms building a client accounting services (CAS) practice need delivery capacity that doesn't look outsourced — clients buy CAS for a seamless experience, and a third-party sender name breaks the illusion. Solo bookkeepers turning work away need the same invisibility for a sharper reason: the client hired them, personally, and the moment the client learns the work is being sub-contracted, the relationship is at risk. White label removes that risk.

How the brand stays yours

From your email domain

The bookkeeper sends and receives client email from an address on your firm's domain — for example, bookkeeping@yourfirm.com. You provision the mailbox; we use it. The client sees your domain in the sender line, every time.

Inside your client portal

The bookkeeper works inside your document management and client portal — Karbon, Canopy, Jetpack, Hubdoc, or whatever you run — as a member of your team, with the permissions you set. The client uploads documents to your portal; the work comes back from your portal.

Under your NDA

Every bookkeeper signs your non-disclosure agreement as part of onboarding, in addition to ours. The confidentiality obligation runs to your firm and to your clients. If you have a standard NDA, we make sure it's signed before day one — no exceptions.

Who the client believes they're talking to

Your client believes they're talking to a member of your team — because they are. The bookkeeper uses the name and title you choose, joins calls as your staff, and signs communications the way your team does. The arrangement is transparent to you and invisible to them.

What stays with you

White label does not mean handing the client over. It means handing the preparation over. The controls stay exactly where they are now: your firm reviews the books, approves the bills, releases the payments, and signs off the close. The bookkeeper prepares and codes; your team approves. Separation of duties is the most important control in any bookkeeping engagement, and white label doesn't change it — it just changes who does the keystrokes.

  • Review and sign-off authority stays with your firm
  • Payment and approval authority stays with your firm
  • The client relationship and all client communication ownership stays with you
  • The mailbox, portal seats, and software access are yours to revoke instantly

How the engagement is structured

A white label bookkeeper is a dedicated, full-time resource — not a shared pool and not a rotation. One bookkeeper, your clients, your close checklist, your hours. Engagements are month-to-month with no long-term contract, because a partner you can leave is a partner you trust more. Onboarding runs 10–14 business days, with a structured 30-60-90 plan built around your clients.

Access is provisioned by you with role-based permissions — named accounts on your domain and in your portal, never shared logins. When an engagement ends, you revoke the mailbox and portal seats in minutes and we coordinate a clean handoff of any in-flight work so the client sees no disruption.

The economics

A white label offshore bookkeeper starts at $8.50/hour — about $1,473/month full-time. Against a CAS fee of $400–$800/month per client, one bookkeeper running 4–8 clients leaves real margin and lets you price CAS competitively. Against a local bookkeeper at $55–63/hour fully loaded, the difference is the difference in employment cost structures between the U.S. and the Philippines — not a difference in work quality. The bookkeeper works your hours, not a graveyard shift.

For solo bookkeepers, the maths are a little different — see our page for solo bookkeepers for an honest breakdown of when buying capacity pays at one-person scale.

Who white label bookkeeping fits

Accounting firms building CAS

CAS is sold as a seamless experience. A third-party sender name or a portal that isn't yours breaks the experience and the pricing. White label delivery lets you scale CAS capacity without the client ever seeing the seam — and without the local hiring cost that makes CAS margin disappear.

Firms that don't want to reveal a sub-contractor

Some clients and some industries are uncomfortable with sub-contracting. White label means there is nothing to reveal — the bookkeeper is, operationally, a member of your team. You answer questions about staffing honestly without exposing a third-party vendor relationship you'd rather keep internal.

Solo bookkeepers protecting the client relationship

A solo bookkeeper's whole business is the client relationship. Sub-contracting visibly risks the client wondering why they're paying you to forward work. White label lets you take on more clients — or keep the ones you have when you're drowning — without the client ever knowing the capacity came from anywhere but you.

Questions firms ask

No — not unless you tell them. The bookkeeper works from your firm's email domain, inside your client portal, and signs your NDA. To the client, they are your team. The arrangement is transparent to you and invisible to them.
