Role Specification
Bookkeeping Manager
The review layer that turns three bookkeepers into a department.

What this role covers
One offshore bookkeeper adds capacity. Three add a management problem: who reviews their work, trains new hires, and keeps quality consistent before files reach your reviewers? A bookkeeping manager is the answer that does not consume partner time. This is a senior hire - 10+ years, having run bookkeeping teams - who does first review of every file, owns the checklist and template standards, and turns your offshore bench into a managed department with a single point of accountability.
The monthly workflow
Core responsibilities
- First review of bookkeeper work before it reaches your firm's reviewers
- Close checklist, chart template, and documentation standards across the bench
- Training and onboarding of new offshore bookkeepers into your processes
- Workload planning and coverage across the bookkeeper team
- Quality metrics: reconciliation timeliness, error rates, close cycle time
- Escalation point for judgment calls, with proposed resolutions for your review
A day in the life
- Run the morning queue: what closed yesterday, what reviews are pending
- First-review two bookkeeper closes and return coaching notes
- Update the close checklist after a recurring error shows up twice
- Onboard a new bookkeeper into a client's chart template
- Rebalance workload when a client group grows
- Send your reviewers a one-page quality summary for the week
The software, in detail
Manager candidates run teams in QuickBooks Online Advanced and Xero environments, and live in practice management tools - Karbon, Financial Cents, Jetpack - where workload and review queues are managed. We screen on a review exercise: find the errors in a junior's close, write the coaching note, and fix the checklist so it does not recur.
A sample week
| Monday | Queue planning; first reviews of Friday closes; coaching notes |
| Tuesday | First reviews continue; checklist and template updates |
| Wednesday | Training session with newer bookkeepers; documentation work |
| Thursday | Reviews; workload rebalancing; escalation handling |
| Friday | Quality metrics summary; next week's plan with your reviewers |
What this role does not cover
Clarity up front saves everyone time. This role does not include:
- ✕Final review and sign-off - that authority stays with your firm's licensed staff
- ✕Attest work, tax sign-off, or client advisory deliverables
- ✕HR authority over your firm's US employees
- ✕Setting your firm's pricing or engagement terms
- ✕Direct client relationship ownership - your firm keeps the relationship
Why Philippines-based talent excels here
The Philippines' BPO accounting sector runs on exactly this structure: senior reviewers managing teams of bookkeepers for US clients. Manager candidates come from those team-lead and QA roles, so first review, coaching notes, and quality metrics are their daily work, not a promotion they are growing into.
