Security
Is Outsourcing Bookkeeping to the Philippines Safe?
Yes — with the right controls. Here's how data security, access management, and contracts work when you outsource bookkeeping to the Philippines.
The short answer
Yes, outsourcing bookkeeping to the Philippines is safe when it's done with the right controls. Thousands of U.S. firms and practices do it today, including some of the largest accounting networks in the world. The risk is not in the location — it's in how access and data are managed. Get that right and the risk is manageable; get it wrong and location doesn't save you.
Access controls
Your offshore bookkeeper should access your accounting software through your own accounts with role-based permissions — not shared logins, not full admin. QuickBooks Online and Xero both support firm users with scoped access. The bookkeeper does what the bookkeeping role requires and nothing more. Approvals, payments, and admin functions stay with your team.
NDAs and contracts
Every offshore bookkeeper should sign a non-disclosure agreement before touching your data. We execute NDAs as part of onboarding, and the employment relationship in the Philippines carries its own confidentiality obligations. The contract structure matters: your firm contracts with us, we employ the bookkeeper, and both layers protect your client data.
Data residency and encryption
Your data stays in your accounting platform — QuickBooks, Xero, Bill.com — hosted in their own secure environments. The bookkeeper accesses it through those platforms; we don't copy your books to a separate system. Banking-grade encryption, MFA, and audit logs are features of the platforms you already use.
Payment and approval separation
The single most important security control is separation of duties. Your offshore bookkeeper prepares and codes; your team approves and pays. A bookkeeper who can both prepare and move money is a risk regardless of where they sit. We design engagements so that authority stays with you.
What to ask a staffing partner
Ask how access is provisioned and revoked, whether NDAs are standard, how data is handled at offboarding, and what background checks are run. A partner who can answer these specifically is one who has thought about security. Read our FAQ for more, or talk to us about your specific concerns.
